1 Principal Responsibilities

• To run the payroll within required deadlines, including BACS file, payslip print and interface files to other systems and take security copies of payroll as set out in Gross to Net instructions.

• To verify the details supplied by Services in relation to new starters, changes and leavers. To prioritise input of same data and tax codes via PC. To check the inputting of new starters personal details by the Human Resources Administrators.

• To check and input additional payments of pay and expenses, implement voluntary and statutory deductions, balance and reconcile the accounts and make the appropriate payments to organisations e.g. HM Revenue & Customs.

To control,check and action annual increments and pay awards.

• To control entitlements and payments made in relation to occupational and statutory sick pay and maternity pay, advising staff of their entitlements and obligations. To advise Services of the same.


• To check payslips and reports and dispatch to various locations with enclosures as appropriate.

• To ensure all statutory forms (e.g. P45, P46 and SSP1) and pension forms are submitted by new employees and the same issued to leavers, providing copies to HMRC and !! (Pension Scheme Administrator) as appropriate.

• To deal with queries on all aspects of pay and answer various enquiries from employees, HMRC, Contributions Agency !!. In particular Management Accounts for estimates/revised estimates and from Accounts for interface queries.

• To deal with requests for urgent payments as necessary.

• To calculate over payments, raise invoices and inform the relevant employee/Service Area as appropriate. Liaise with Recovery Team as appropriate to follow up repayment.

• Provide timely and accurate monthly and quarterly Performance Indicator information to Best Value and liaise to resolve basic queries


• To provide routine and ad hoc management information and complete surveys and statistical reports for Government departments and other organisations, with support as required from the Shared Services Manager.

• To calculate the sum due to employees and the cost to the employer of staff leaving for reasons of ill heath, efficiency of service, age retirement and redundancy, providing statements as appropriate.

• To assist the Shared Services Manager as required , to prepare and reconcile Annual Returns in respect of P14s/P11Ds and submit to the HMRC and Pension Statement !!.

• To deal with correspondence including third party accident claims and references.
